Oral presentation guidelines

-> Presentations should be PowerPoint files, or a PDF. The required aspect ratio for presentation slides is 16:9. Using your own computer is not possible.

-> USE THE LINK HERE TO UPLOAD YOUR PRESENTATION. PLEASE INCLUDE YOUR NAME AND SESSION NUMBER IN THE FILE NAME. You can use this to upload files only until June 27. This way, the technician will have time to check your slides. If you have uploaded your presentation by June 27, your file will already be saved on the presentation laptop’s desktop in the right hall.

If you have important multimedia included in you presentation, please:
1) Make sure that all multimedia is embedded into your presentation file, not just linked.
2) Upload the audio and video files separately also to be used in case of any malfunctions. Name the multimedia files the same as your presentation.

-> Uploading your files at the venue. If you don’t upload your slides to Dropbox beforehand, please bring them to the venue on a USB drive.
IF YOU PRESENT AT HURDA HALL, please hand your slides to the technician near the entrance during one of the breaks before your session as soon as possible.
IF YOU PRESENT IN ANTOHER HALL, there will be a volunteer there to help you save your presentation on the presentation laptop’s desktop. Please save your slides during one of the breaks before your session as soon as possible.

-> If your presentation is in the Hurda hall, you will have a microphone and a podium together with a presenter’s monitor for your presentation.
If you present in another hall, these are smaller rooms and do not have a microphone. You will be able to see your slides on the presentation laptop’s screen which will be in front of you.

-> Preview station. At the venue, you can check your presentation at the preview station near the registration desk. You cannot upload files there, but you can use the computer to make last-minute changes, for example.

-> Please check your presentation time in the programme HERE. Please plan your presentation time accordingly. Oral presenters will have 12 minutes for presentation and 3 minutes for Q&A; keynote presenters will have 15 minutes for presentation and 5 minutes for Q&A. Presenters within symposia, please check your exact presenting times with your session’s convener.

 

Poster presentation guidelines

 

The maximum size enabled for your poster is A0 - 841 mm (horizontal) x 1188 mm (vertical). Please choose a suitable format for your poster – portrait, not landscape. 

Posters will be mounted using double-sided removable adhesive tape meant for posters, provided by the organizer. 

-> Please do not print your poster on vinyl or too heavy paper. 

-> Please do not put posters up using your own tape, it may damage the poster stands/glass. 

Poster cases can be stored if the case is properly labelled. You can hand the poster case to the staff at the registration desk and then ask for it there when you would like to get it back. 

Please mount your poster when you arrive at the venue and have received your badge. Please leave it up for as long as possible.

 

WHEN I ARRIVE TO THE VENUE WITH MY POSTER

  1. Where to get the poster mounting tools? Ask for the mounting tape at the registration desk or from the volunteers in the poster area who wear a yellow t-shirt. You are more than welcome to ask for any help from them.
  2. Where to put my poster? We have allocated the poster area into session blocks so please find your session number and put your poster to the right block.
  3. When will my poster session take place? There are two poster sessions organised based on the session:

1st block (sessions 1-5): presenters at their posters 30 June, 18:35-20:00

2nd block (sessions 6-9 and symposium): presenters at their posters on 3 July, 18:15-20:00

You only need to stand near your poster and talk during the period that was allocated to your block. Please find the poster list HERE.
